Order Management

Process purchase orders for receiving and sales orders for shipping.

Order Management

SimpleWMS handles both inbound and outbound order processing. Purchase orders bring inventory into the warehouse, while sales orders fulfill customer demand.

Purchase Orders

Purchase orders (POs) represent incoming goods from suppliers. They can be:

  • Synced from Lemonsoft ERP automatically
  • Created manually in SimpleWMS

Purchase Order Workflow

Created → Receiving → Partially Received → Fully Received → Closed

Viewing Purchase Orders

  1. Navigate to Purchase Orders or Incoming
  2. View the list of orders with status indicators
  3. Filter by status, date, or supplier
  4. Click an order to view details

Receiving Goods

When goods arrive:

  1. Open the purchase order
  2. Click Receive or Receive Multiple
  3. Enter the quantities received
  4. Select the destination bin location
  5. Optionally enter lot numbers for lot-tracked items
  6. Confirm the receipt

Partial Receiving

You can receive orders in multiple deliveries:

  • Receive available quantities first
  • Order status changes to "Partially Received"
  • Continue receiving as more goods arrive
  • Status updates to "Fully Received" when complete

Purchase Order Details

Each purchase order includes:

  • Order number: Unique identifier
  • Supplier: Vendor information
  • Expected date: Anticipated delivery
  • Line items: Products, quantities, and prices
  • Status: Current state of the order
  • Receiving history: What has been received

Sales Orders

Sales orders represent outbound shipments to customers. They drive the picking and shipping process.

Sales Order Workflow

Created → Picking → Picked → Shipped → Closed

Viewing Sales Orders

  1. Navigate to Sales Orders or Outgoing
  2. Browse orders with filtering and search
  3. Check status indicators for quick overview
  4. Click to view order details

Picking Process

To fulfill a sales order:

  1. Open the sales order
  2. Click Picking to start the pick process
  3. The system shows:
    • Products to pick
    • Quantities needed
    • Suggested bin locations
  4. Confirm picked quantities
  5. Complete the pick when done

Pick Strategies

SimpleWMS suggests pick locations based on:

  • Available stock in bins
  • Lot expiration dates (FEFO - First Expired, First Out)
  • Location efficiency

Printing Pick Lists

  1. Open the sales order
  2. Click Print to generate a pick list
  3. Use the printed list for warehouse picking
  4. Return to confirm picked quantities

Sales Order Details

Each sales order contains:

  • Order number: Unique identifier
  • Customer: Ship-to information
  • Required date: Expected ship date
  • Line items: Products and quantities
  • Status: Current fulfillment state
  • Picking history: What has been picked

Dashboard Views

The dashboard provides order visibility:

  • Recent Purchase Orders: Latest incoming orders
  • Recent Sales Orders: Latest outgoing orders
  • 14-Day Histogram: Visual of upcoming order activity
  • Order Counts: Total active orders

Tips for Order Management

  1. Process orders promptly: Keep your receiving and shipping on schedule
  2. Use the dashboard: Monitor order activity at a glance
  3. Check expected dates: Plan warehouse capacity
  4. Verify quantities: Double-check during receiving and picking
  5. Complete orders: Close finished orders to keep lists clean
